Job Description
Whilst this is a dream job for many, with the opportunity to learn digital marketing from the general manager of a global creative agency, this role is incredibly important to the success of the small but successful Sydney office.
This role needs a self starter who can manage up and think ahead. Here is a breakdown of what you might be expected to do each day:
Office Management and EA responsibilities:
- General Office administration to keep the team of 12 in the Sydney office running
- Support to agency General Manager with administrative duties
- Management of agency team culture and other social events.
- First point of call for anything office related
- Prepare invoices twice a month for external agency to process.
- Ensure correct paperwork for payment of passthrough costs. Including estimate, PO, client PO & client
- Providing additional support/ data to accounting firm as required
- Follow up with AM or Producer if there is no client approval
- Maintain production trackers to keep on top of PO balance and outstanding invoices
- First point of contact for all staff on HR matters and queries
- Onboard new staff onto payroll system, ensure all staff records are accurate and kept up to date.
- Ensure all staff timesheets are completed on time
- Assist with recruitment as/ when required
- Support the GM as required
- Manage all office suppliers
Digital Marketing responsibilities:
This role also requires someone with a basic understanding of digital marketing as you will support on projects including EDM and CRM projects for some of the agencies top clients.
- Work with Strategy to champion the CRM Experience for JLR and assist in defining content strategy
- Key contact lead across the CRM program of work.
- Work collaboratively with all agency partners
- Identify opportunities to optimise project processes and workflow
- Ensure the quality of work is to the highest standards and CI compliant
- Monthly reporting with client, pulling all campaign data from SFMC, making recommendations based on analysis
- Decipher briefs from client, project manage build of EDM’s, keeping scheduling
- Brief copy / visual requirements to creative team
- Manage key stakeholder expectation during the creative review process
- Use technical understanding of SFMC & basic coding ability to build emails within the platform and making
amends based on client’s feedback
- Monitor performance of email campaigns and relay back to client / agency.
- Attend bi-weekly meetings
- Maintain CRM Hub, adding additional content for best practice
- Maintain client WIP and report in weekly meeting status of projects
- Guide client on content based on strategic objectives
If you have 2-3 years experience as an office manager within a creative agency (or similar) environment, you are switched on, hands on and also super keen to evolve into digital marketing projects this is the perfect role for you.
